Editing A Project

In Cloudwords, a project can be in one of three main "states", and each of them allows different levels of edition:

1. Project in creation (still in the wizard - quotes not requested yet)

2. Project created and quotes requested (winning bid not selected yet)

3. Project in translation (winning bid selected)

1) Project in creation (still in the wizard - quotes not requested yet)

 While a project is being created, you can edit every single part of it in the creation wizard sections (title, description, instructions, followers, source and reference materials, dates, source and target languages, et cetera).

When you are creating a project in the wizard, you can save your changes and information before requesting bids, so you can continue creating it at a later time. To do so, simply click the Save and Exit link that appears on the top right side of every screen of the wizard. After saving and exiting the project on the wizard, you will see an open task to finish creating it on your Home tab -- Clicking that open task will take you back to the wizard, where you can finish creating the project and request bids for it from vendors.

2) Project created and quotes requested (winning bid not selected yet)

 When you have finished creating a project but have not yet selected a winning bid from a vendor, you can edit it by going to the project page and clicking the Edit link that appears both underneath the project's name or on top of the Project Details page. At the project edit page you will be able to modify the following sections:

  • Project name
  • Project description
  • Purchase order number
  • Notes and instructions to vendors
  • Project dates (so you can extend the project's deadlines)
    * Bid due date: Deadline for vendors to submit their quotes for your project.
    * Deliverables deadline: When the translations need to be ready.
    * Bid selection deadline: Date by when you need to select the winning bid for your project. This date is not editable directly by you, as it is automatically calculated based on the bid due date and the deliverables deadline. If you need more time to select the winning bid, you can choose new dates for the bid due date and the deliverables deadline, which will imply a change to the bid selection deadline.
  • Project target languages: You can add or remove languages into which you want your materials translated.
  • Project followers

Note: If you make changes to any of the project's dates or target languages, the vendors bidding for it will be required to submit new quotes. This is because new dates and/or languages can have a material financial impact in the scope of your project, and vendors must be given the opportunity to review their bids.

3) Project in translation (winning bid selected)

After you have selected the winning bid for your project and the vendor to work on your translations, you can edit your project by:

3.1. Click the Edit link that appears both underneath the project's name or on top of the Project Details page. On the Edit page you will be able to modify the following:

  • Project name
  • Project description
  • Purchase order number
  • Notes and instructions to vendors
  • Project dates
    * Deliverables deadline: Since the bid due date and the bid selection deadline have already passed, you can only change the deliverables deadline.
  • Purchase order number
  • Notes and instructions to vendor
  • Project followers

3.2. In case you want to add or remove languages or modify the source materials of your project, you will need to create a change order, so your vendor has the opportunity to provide an updated quote. Learn more about change orders and how to create one.
