How Do Internal Translation Projects Work?

Once internal translators have been setup for your company account, administrators and project managers will be able to create a project and assign it to an internal translator. To do so:

  1. On the Home tab, click the orange Start a new project button. 
  2. Under the Translations By drop down, select Internal Translator.
  3. Proceed with the project creation wizard until the Internal Translator step.
  4. At the Internal Translator step, select the internal translator for this project and click Finish and Request Translation

Note: only users who have been marked as available as internal translator will appear as an option. For more information on how to do so, click here.  Only one internal translator can be selected per request.  An individual internal translator can be assigned multiple languages, but you will have to clone or create additional project requests if you need to assign multiple translation resources (internal or external).

Once translation has been requested, the selected internal translator will receive an email notification as well as an in-app task to respond to the internal translation request. The selected internal translator will have the option to Accept or Reject the internal translation request.

To accept an internal translation request, the selected internal translator can go to the project and click on the Internal Translator tab. Click on the Accept button to accept the request. Alternatively, the internal translator can click on the in-app task or the link in the email notification to arrive at the same page. Once the internal translation request has been accepted, the project will immediately transition to the In Translation status. Accepting an internal translation request is not reversible.

To reject an internal translation request, the selected internal translator can go to the project and click on the Internal Translator tab. Click on the Reject button to reject the request. Alternatively, the internal translator can click on the in-app task or the link in the email notification to arrive at the same page. The internal translator will be asked to provide a reason for rejection. Once a translation request has been rejected, the project will immediately transition to the Internal Translation Request Rejected status. The project creator can choose to send out the internal translation request again to any internal translator, or cancel the project.

Once the project is in translation, the project's internal translator will be asked to upload translations for the project source files. To upload translations, go to the project page and click on the Translations tab. Click on Upload Deliverables to upload the translations. The internal translator will also be assigned an Upload Translated Materials task for each target language.

Once all translations have been delivered, reviewed, and approved, the internal translator can optionally upload translation memory for this project. 

Lastly, the project creator or the internal translator can complete this project by clicking on the Close Project button under the Translations tab. Please note that the internal translator will not be able to upload the project's translation memory once the project is closed. Closing a project is not reversible. Once closed, the project's translation memory, if any, will be merged into the company (and department) translation memory like all projects in Cloudwords.
